Partnering Spaces –
Users Terms & Policies

Gentle Ground Pte Ltd will be referred to as Gentle Ground. Gentle Ground’s partnering salons, studios, and workspaces will be referred to as Partnering Spaces.

1. Agreement to Terms

Gentle Ground and its Partnering Spaces operate as independent entities and are not affiliated or part of the same company. Each Partnering Space maintains its own policies and business operations.
By booking a space through Gentle Ground, users agree to comply with all local laws and regulations related to their activities within the rented space. Users must maintain a professional and respectful environment, ensuring proper conduct toward Partnering Space owners, staff, clients, and other users. Each Partnering Space may have specific restrictions—users are responsible for reviewing and adhering to individual space policies before booking. Gentle Ground reserves the right to update these terms at any time without prior notice to ensure compliance with operational and legal requirements.

2. Registration & Booking

  • First-time Registration – New users must complete our One-time Registration form before making their first booking.

  • Booking Process – All reservations must be made through Gentle Ground’s platform, with a minimum 12-hour advance notice, subject to availability.

  • Booking Confirmation – A confirmation email will be sent to users upon booking. Gentle Ground is not responsible for errors in user details or email addresses.

  • Payments & Refunds – Full payment is required upon booking, and all payments made are non-refundable under any circumstances.

  • Unused Purchases – Any unused bookings or credits are valid for two months from the purchase date.

  • FlexPass Usage – FlexPass cannot be used to book Partner Spaces.

3. Exclusive Booking Policy

All bookings must be made exclusively through Gentle Ground’s platform. Users are prohibited from contacting Partnering Spaces directly to arrange bookings, modify reservations, or negotiate rates outside of the platform. Attempts to bypass Gentle Ground’s system may result in account suspension or permanent restriction from future bookings.

4. Cancellations & Rescheduling

  • Cancellations and refunds are not permitted.

  • Rescheduling must be requested online at least 12 hours in advance and is subject to availability.

5. Space Access & Usage

  • Designated Space Only – Users may only use and/or occupy their designated booked space.

  • Operating Hours – Access is permitted only during Partnering Space operating hours.

  • Overrun Policy - Users must vacate Partner Spaces by closing time. Unauthorised use beyond operational hours incurs the following fees per station:

    • First overrun: 30% of the daily rate.

    • Second overrun: 50% of the daily rate.

    • Third overrun: 100% of the daily rate.

  • Entry Verification – Users must present their booking confirmation email to the staff on duty before using the space.

  • Complete Vacating Required – Users must fully vacate the space after each session, and no personal storage is allowed.

  • Cleanliness & Restoration – Spaces must be left clean, with no visible trash, and restored to their original setup before departure.

  • Left-Behind Items – Items left behind will incur daily booking charges at the Partnering Space’s published rate.

  • Companion Policy – All companions count toward the space’s allowable capacity, and users must ensure group size does not exceed studio limits.

  • Marketing & Media Usage - Users may capture and publish photos and videos from Partnering Spaces solely for their own marketing and promotions, ensuring content is not misleading, misrepresented, or used illegally.

6. Conduct & Etiquette

  • Maintain a respectful noise level to ensure a positive experience for all users.

  • Avoid excessive interactions with studio staff—users should refrain from unnecessary disruptions.

  • Unauthorised activities, including illegal operations, aggressive client solicitation, or attempts to take clients from other users, are strictly prohibited.

  • Unauthorised access will be reported to the relevant authorities.

  • Any violations of policies will result in immediate termination of access privileges.

7. Damage & Liability

  • Users are responsible for any damages, stains, or missing items that occur during their session.

  • Repair/replacement costs will be charged at full retail price to the card on file.

  • Gentle Ground and Partnering Spaces are not liable for any loss, damage, or injury incurred during space usage.

8. Legal Provisions

Misrepresentation
Users must not falsely claim affiliation with Gentle Ground or any Partnering Spaces. This includes unauthorised use of names, logos, or misleading clients about partnerships. Gentle Ground and Partnering Spaces reserve the right to seek compensation for any misrepresentation.

Limitation of Liability
Gentle Ground and Partnering Spaces are not liable for injuries sustained by users or guests on their premises. Neither Gentle Ground nor Partnering Spaces assume responsibility for lost personal belongings or valuables. Third-party vendors engaged for maintenance are not liable for property loss or damage.

Information Security & Confidentiality
Users must maintain confidentiality regarding trade secrets or proprietary information shared within rented spaces. Confidential information may not be disclosed to others or used outside of designated training sessions.

Data Protection
By booking a space, users consent to Gentle Ground and Partnering Spaces collecting and using personal data for marketing communications. Users may opt out by contacting hello@thegentleground.com.

Operational Compliance & Team Management
Users must ensure permits and insurance are valid for conducted activities. Users with employees declare full responsibility for registered staff members.

Indemnification
Users agree to release Gentle Ground and Partnering Spaces from liability and indemnify them against any claims, damages, costs, or disputes arising from their usage of rental spaces.

9. Amendments & Updates

  • These terms may be updated periodically to align with operational improvements or legal requirements.

  • Users will be notified of major policy updates via platform notifications.
